Practical AI setups for Henry County businesses.

I set up a few specific things. A paid AI account. An email sorter. A phone that can pick up. A calendar that books a real opening. If AI should stay out of the job, I will say so.

Henry County businesses only. Thirty years in IT. The keys to money, access, and deletes stay with you.

What I set up.

Four kinds of work. Each one has a plain example of what it looks like in a shop.

The Orchestrator

Connects the systems you already use, so the AI can see real information. That is grounded AI. It is not guessing to please you. It can read the information. It cannot change it.

Example: a new customer email can look at the calendar and the notes you already keep, then draft a reply. A person still sends it.

The Voice

Answers the phone when you are with a customer. It gives the hours, the address, and a time that is actually open.

Example: someone calls a restaurant during the lunch rush. They get the hours and an open table time. It does not quote a price.

The Scheduler

Books into the calendar you already use. If the hour is open, it takes it. If two jobs want the same hour, you see the conflict.

Example: a customer asks for Tuesday at 9. If that hour is free, it is booked. If it is not, they get the next real opening.

Small repeat jobs

A named job in a tool you already pay for. Inbox, quotes, tickets, or a Monday list of what is still open.

Example: the inbox is sorted into “needs you today” and “can wait.” Anything that spends money or makes a promise waits for a person.

Where this shows up.

Restaurants

The phone rings during the lunch rush. The caller can get the hours and an open time without you leaving the line.

Trades

You are on a roof. The missed call becomes a name, a number, and what they needed.

The counter

A customer is in the chair. The phone can answer “what time do you close?” so you can stay with them.

Farms and suppliers

Seasonal calls pile up. Each one lands as a message you will actually see, instead of a notebook.

How a job starts.

Same four steps, every time. I do not skip ahead to a tool.

1

Assess

I watch how the job actually runs, on a normal day.

2

Simplify

We remove steps that do not need to be there before adding a tool.

3

Automate

I build only the part that repeats, or the part people get wrong.

4

Train

Your people can explain what runs after I leave.
